Duties

As an Administrative Operations Assistant, you will:

  • Perform a wide range of administrative and programmatic activities in support of office staff members.

  • Respond to a variety of substantive requests for program, budget, and statistical information.

  • Receive and manage office calls, email, visitors, and correspondence.

  • Plan and organize meetings, conferences, and workshops.

  • Makes travel arrangements, organizes and maintains the office filing system, procures supplies and equipment, and performs other tasks necessary to meet office support needs.

Qualifications

You must meet the following requirements within 30 days of the closing date of this announcement.

Specialized Experience for CN-33: To qualify at the CN-33, you must have one year of specialized experience at or equivalent to the CN-32 level in the Federal service. (For qualification purposes, the CN-32 level is broadly equivalent to the GS-6 level.) For this position, specialized experience is experience that demonstrates the application of work processes and procedures to the performance of a wide variety of administrative and programmatic support functions and activities. Such experience must have included:

  • solving non-routine administrative problems or proposing improvements to administrative processes;

  • gathering and consolidating data to respond to factual requests for program information;

  • interpreting and applying regulations, policies and procedures to perform a variety of administrative support duties;

  • coordinating and tracking correspondence and other documents;

  • providing support services such as time and attendance recording, preparing travel arrangements, and reviewing travel vouchers; arranging for conferences and meetings; AND

  • preparing correspondence, reports and other written material using a variety of office software products for word processing, spreadsheets, database management, and slide presentations.

  • coordinating and tracking correspondence and other documents;

  • providing support services such as time and attendance recording, preparing travel arrangements, and reviewing travel vouchers;

  • arranging for conferences and meetings; AND

  • preparing correspondence, reports and other written material using a variety of office software products for word processing, spreadsheets, database management, and slide presentations.

The experience may have been gained in either the public or private sector or volunteer service. One year of experience refers to full-time work; part-time work is considered on a prorated basis. CONDITIONS OF EMPLOYMENT:

  • A one year probationary period may be required.

  • Must successfully complete a background investigation.

  • Complete a Declaration for Federal Employment to determine your suitability for Federal employment, at the time requested by the agency.

  • If you are a male applicant born after December 31, 1959, certify that you have registered with the Selective Service System or are exempt from having to do so.
