Operations Coordinator

Position Summary:

The Operations Coordinator position is responsible for consistent excellence in facilities care, including operational support, security administration, and building maintenance. In addition, the incumbent will act as the liaison for vendors and internal stakeholders. The position will assist in office reorganizations, as well as management of the printer fleet. Critical to the success of the position is a strong customer service orientation and the ability to effectively multi-task.

Job Description:

Role and Responsibility

  • Responsible for answering, monitoring, and closing office work orders and tickets in a timely manner

  • Assist in onboarding process by providing new hires with badges, equipment, etc.

  • Perform building maintenance (construction of cubicles, repairing office furniture, lock replacement, or any other building-related items)

  • Maintain printer fleet – toner inventory and toner replacement, troubleshoot minor repairs, and dispatch engineers, when necessary

  • Process merchant supply orders and helps stock office and paper supplies

  • Maintain internal security system in terms of proficiency

  • Create, distribute and collect temporary badges for guests and employees prior to arrival

  • Responsible for shipping requirements, distribution of incoming mail, and preparation of outgoing mail for pickup

  • Manage minor office reorganizations and workstation space planning

  • Maintain inventory and upkeep of office kitchenette areas and conference rooms

  • Purchase and transport goods to and from local businesses as needed

  • Provide temporary coverage of the reception desk

  • Responsible for scheduling installation and subcontracted activities on projects or services installed

  • Assist with event setup and management

  • Perform light housekeeping and cleaning as needed

  • Conduct comprehensive building inspections (site walks) and actively search areas for improvement and make recommendations where appropriate.

  • Perform special projects as assigned

Experience, Qualifications and Education

  • 2+ years of previous operations experience

  • High school diploma required

  • Special eye for detail and a knack for creative problem solving

  • Recommend process improvements to drive scalability and cost reduction in a quickly growing organization

  • Confidently prioritize projects and maintenance issues to ensure work gets resourced and completed in a timely and successful manner

  • Proven ability to exercise sound judgment in a fast-paced, dynamic work environment

  • Must be able to perform physical activities including but not limited to lifting (50-80 lbs.), climbing, stooping, kneeling, and crouching

  • Proficiency with Microsoft Office

  • Excellent verbal and written communication skills along with strong interpersonal skills

  • Positive attitude coupled with dependability and reliability

  • Basic skills in the use of hand tools and power tools

  • Ability to multitask, organize, and prioritized
