Position Title: Document Control Specialist / Project Management Assistant Job Description: The Project Management Assistant (PMA) works with the Project Managers to help organize and handle the day to day running of construction projects. The PMA may be working with several Project Managers on several different projects at one time. The PMA will typically work on a project from start to finish, which can be several months, or up to several years. The PMA must be able to work independently as well as part of a team with the Project Manager, field personnel, other employees, subcontractors and owner representatives. The position requires excellent verbal and written communication skills. The PMA must be a self-motivated individual who is a stickler for accuracy and detail, and possesses a pride of ownership for work assigned. This is a dynamic position for an individual who likes to solve problems and take initiative. This individual may assist in reengineering existing procedures to ensure efficient information flow. Duties include:

  • Project coordination o Project startup o Creating and maintaining project files (both electronic and hard copy) o Maintaining accurate project document logs (both electronic and hard copy) o Accumulating, invoicing and tracking payment of Force Account work o Photocopying and preparing submittal packages to be sent to the owner o Coordinate QA/QC documents o Project closeout

  • Subcontractor coordination o Preparing subcontracts o Insuring proper documentation is received from subcontractors o Assisting in processing pay estimates to subcontractors o Track and ensure subcontractors have submitted their required documents: site safety plans, bonds, insurance… etc.

  • Other duties o Adapting current data management procedures to efficiently comply with owner mandated electronic reporting o Participating in a wide variety of special projects o Appropriate handling of sensitive, highly confidential materials and matters with discretion The PMA should have extensive computer skills including the programs Word, Excel, Outlook, and internet use. Experience with SharePoint, Access and Adobe is preferred. A minimum of four (4) years of applicable work experience is preferred. College degree is a plus. Work history with construction firms and/or the ability to read plans is also a plus. The position is full time, 40 hours a week, Monday through Friday, 8AM to 5PM with a one hour lunch break. This position is located in the main office, in Spokane, WA.
