The Workplace Data Operations Manager will support the Planning Team by maintaining and administering space and occupancy database, ensuring utilization of tool standards, maintaining common data elements, completing data updates, ensuring reports and drawings are maintained appropriately and employing continuous improvement on systems and methodologies. The role could include on-site visits to selected facilities within the assigned portfolio at predetermined intervals to validate floor drawing information.

The Workplace Data Operations Manager will possess the talent and skill to push portfolio enhancement, specifically those events directly related to space and occupancy tracking, while at the same time allowing for flexibility and room to grow as the duties become more formalized over time.


Responsibilities, among other duties, are to gain an overarching knowledge of occupancy plans of lines of business representatives and strategic plans that directly impact supply side space churn. Establish relationships with lines of business and the planning team, and develop a portfolio awareness, as it relates to line of business adjacencies and its' impact to utilization. Other duties include:

  1. Identifyopportunities to optimize the real estate portfolio in support ofportfolio goals

  2. Identifyopportunities for utilization analysis

  3. Communicatetarget corporate utilization metrics to all supporting teams

  4. Approveall incoming Move, Add and Change (MAC) requests

  5. Filterand help prioritize space (service) requests

  6. ManageCAD floor plan / data integrity

  7. Serveas liaison between line of business representatives and the Planning Director

  8. Supportall activity relating to space allocation

  9. Resourcefor research on strategic initiatives

  10. Identifynew procedures for portfolio optimization

  11. Accommodate ad-hoc requests for queries from theoccupancy database


  1. Maintain and update CAD Occupancy/Allocation Drawings on a monthly basis, or as changes to occupancy

  2. Manage workload of CAD changes via Vendor CAD support resource

  3. Maintain CAD space library utilizing approved standard methodologies and procedures

  4. Track and record all changes to Space Occupancy utilizing approved methods and tools

  5. When directed, act on project changes as supplied from supporting team(s)

  6. Enable allocation or policy changes

  7. Reconcile data with external space information systems on a monthly basis

  8. Provide square footage, space allocation and utilization information and reports as needed by Planning and/or Line of Business representatives utilizing approved formats

  9. Provide properly formatted data for internal data mining and benchmarking initiatives

  10. Identify and communicate Planning Team process enhancement requests and concepts for review and consideration


  1. Maintain occupancy and allocation information for all headcount assigned within portfolio

  2. Validate proposed client submitted service requests involving space request / validation issues within assigned portfolio

  3. Completing on-site visits to selected facilities within the assigned portfolio at predetermined intervals for the purpose of validating floor information

  4. Provide support to Planning group for scenario planning analysis

  5. Participation in and support of development of annual occupancy plan

  6. Facilitates and/or resolves issues related to IWMS platform

  7. Administer the measurement of space per BOMA (per standards) to all drawings

  8. Serves as the primary trainer IWMS system and all supporting applications for both client and internal users

  9. Manage user access for all elements of IWMS system

  10. Manage employee data integrity with new adds / deletes, employee attributes (organization, phone number, etc.) and organization hierarchy as needed or on a periodic basis from external data sources when a direct integration with these data sources has not been implemented


Bachelor's degree (BA/BS) from four-year college or university required. Minimum 3+ years of related experience.

  • 5-10years of experience in workplace planning/and or project management

  • Knowledgeof facilities management and real estate procedures

  • Knowledgeof corporate occupant move management procedures

  • Demonstratedproficiency with word processing, spreadsheets, project management, and facilitiesmanagement software

  • Knowledgeof AutoCAD

  • Basicunderstanding of database design and development

  • Excellentclient relationship skills - ability to effectively communicate withsenior level staff- both written and verbal

  • Comfortin working effectively with a virtual multi-disciplinary team

· Able to prioritize / respond to client requests

  • Comfortwith deadlines or high pressure situations

  • Processoriented coupled with high degree of detail
