The Operations Manager (Soft Services) has a thorough knowledge of customer service, facility management, building maintenance practices, as well as the policies and values of the client. This position manages and coordinates the team that may oversee janitorial, mail services, shuttle, reception, event planning, facility maintenance, space planning, and /or relocation/reconfiguration. The Operations Manager will focus on the needs and requirements of the client in order to achieve extraordinary service practices and exceed client expectations, while working closely with end-users, as well as outside vendors and contractors.

The Operations Manager will oversee the operations of Shipping/Receiving and Mail Services at our client locations in San Diego, CA. Corporate Shipping/Receiving and Mail responsibilities include: All shipping functions domestic and international, processing receipts in Oracle and Beartracks. Delivering packages and mail 2-3 times daily to 43 locations in San Diego, CA, for internal distribution. Manage shipping/packaging of trade show material, distribution of internal supplies and equipment.

The Operations Manager will also be responsible for the operations of Shuttle Services. Shuttle Service responsibilities include: Point to point movement of employees between 43 client buildings, airport service, team building outings and other special events in San Diego. Dispatching services, vehicle inspections, fueling, and cleaning of vehicles is also required.

Essential Duties and Responsibilities:

Achieve Budget/Financial Responsibilities

  • Responsible for accuracy and timeliness of financial data and statistics.

  • Controls expenses within area of responsibility.

  • Develops and recommends department operating budget and ensures that department operates within budget.

  • Evaluates and justifies supplies, equipment and purchases as needed.

Customer Relations:

  • Addresses and ensures B&I client Needs are met.

  • Demonstrates good/effective communication skills in client.

Operation Excellence

  • Demonstrates quality leadership in meeting performance plans.

  • Acts as a positive role model; proactive in the achievement of the facility goals and objectives

  • Provides recommendations for replacement of furnishings and wall coverings with OSHA standards in mind.

  • Maintains an environment that is in sanitary, attractive and in an orderly condition.

  • Understands and develops the Total Quality Management Process; Rounding the facility.

  • Demonstrates understanding and compentency in interviewing candidates for openings.

  • Demonstrates knowledge of EEO policy.

  • Demonstrates and promotes Crothall Support Services culture, values and management philosophy.

People Management

  • Oversee the interviewing/hiring process of team, utilizing support from coordinators for additional feedback

  • Ensure professional development within team through individual and/or group training.

  • Communicate regularly with team members on both a local and national level

  • Write and deliver performance reviews and provide employee feedback regularly through one-on-one meetings and documentation.Coaching management and hourly employees.

  • Develop and maintain performance appraisals for staff on a timely and accurate basis.

  • Encourage staff to participate in additional training, education, and/or self development.

  • Maintains a harassment free environment with good employee morale by demonstrating good employee relations practices and utiliving HR consultation when needed.


  • Keeps administration informed of activities, needs or concerns.

  • Maintains records and statistics for administrative and regulatory purposes.

  • Establishes and implements policies and procedures for departmental operations.

  • Ensures compliance with all regulatory agencies.

Education, Training and Experience:


  • High School Diploma, GED preferred or equivalent combination of education and experience.


  • Bachelor’s Degree or equivalent combination of education and experience.

    Particular Knowledge, Skills, and Abilities:

  • Ability to communicate effectively in written formal and oral presentations from hourly staff to CEO level.

  • Ability to multi-task and establish priorities

  • Ability to maintain organization and control in an ever-changing environment

  • Must exhibit self initiative, accountability, flexible and good leadership skills as well as political savvy

  • Must possess a thorough knowledge of contract administration and office procedures

  • Must understand and conceptualize working knowledge of support services to meet established goals and objectives

  • Above-average time management skills

  • Must be proficient in the use of Windows based office software including but not limited to Microsoft Office, Word, Excel, PowerPoint and Outlook.
