BusinessOperations Coordinator I

* Greetand qualify touring guests. Collect and validate all guest information. Assigntours to Sales Agents and provide information to Sales & Marketingdepartment as necessary. *

* Provideexceptional customer service to all guests. Answer phones and guest questionsin a professional manner. *

Thisposition is first line support between corporate centralized contract processingcenter and site sales liaison in the preparation of timeshare contracts forprospective owners to ensure contractual compliance with company rules,regulations, and legal restrictions. This position is responsible forverifying, validating, reviewing, and auditing of contractual documents. This position may handle inventory on-call issues. This position will providesupport to the Business Operations Manager and works with the Sales Sites;Consumer Finance Account Controls and Wyndham Owners via Mail/Phone.

* Job Expectations/Performance: *

  • Distribute premiums to guests upon closure of presentation. Complete daily gift, tour and contract reconciliation in all systems.

  • Data entry of all tour and gifting information into Central Reservations Systems/Epiphany system and running of reports.

  • Prepare and balance cash, down payments, site stats for Contract Department.

  • File and secure all documents per procedures. Maintain property owner information per PII and PCI standards.

  • Prepare timeshare sales contracts for Sales department and property owners. Assist Business operations Leaders in support of Sales and Marketing associates. Preparation and maintenance of legal documents.

  • Assist supervisor/managers to provide additional business operations support to internal departments

  • Must be able to work all evenings, weekends and holidays.

  • Key and process new contract sales for WVR and WBW sales sites within established timeline

  • Verifyworksheet accuracy

  • Validatesales figures of worksheet to SalePoint, resolving any discrepancies

  • Auditcontract quality

  • Inputsales information into CRS

  • Inventoryon-call (in absence of centralized contract manager)

  • Protectsand ensures compliance with PCI and PII in accordance with Wyndham SOP

  • Providetimely feedback on processes helping strengthen business acumen for department

  • Maintaineffectiveness while experiencing constant change in new work structure,processes, requirements or culture.

  • Maintainstable performance under pressure or opposition; handling stress in anacceptable manner.

  • Quicklylearn and achieve satisfactory technical and professional skills/knowledge;keep up with current development and trends.

Qualifications

Minimum Qualifications Required

  • Must beable to work a rotating shift including weekends, evenings and holidays

  • Strong PC skills to include MS Word, Excel and 10-Key Data Entry skills

  • Strong math skills

  • Able to work in a high-pressure, very fast paced environment with a strong sense of urgency

  • Able to prioritize effectively and coordinate multiple projects to meet deadlines

  • A positive attitude and the ability to positively interact with others

  • Able to work independently and as a part of a team.

Preferred Qualifications

  • 1-2 yearssite contracts experience

  • Mortgage/Loan/Timeshareexperience preferred

  • Proficientin Wyndham Vacation Ownership operating systems including but not limited toCRS, SalePoint, Mainframe/CSS, RCC, Payment Gateway, Client Application,Wyndham Owner Worksheet/Lookup Tool, ACS, and Microsoft Application
