Responsibilities of the JOB TITLE will include but not limited to:

National Accounts Administration

  • Work with Vendors on VMS tool implementation, user registration, training, access credential.

  • Coordinate system alerts resolution and the uploading of submissions, scheduling of interview and on-boarding of consultants as required by regional staff

  • Create and manage job order profiles and/or requirements in VMS tools and COSMOS

  • Coordinate new hires and extensions with Sales Solutions Consultants on the client side for National Accounts

  • Manage consolidate client billing where applicable, reconcile to approved timecards and client payments (Morson and Thales only)

  • Communicate all new and current Modis and client policies and procedures to the VMS clients and consultants

  • Ensure timely communication between the branch and the corporate office by responding to all emails/phone calls within 24 hours.

  • Complete weekly and monthly branch reports, Metrics Reports, SLA reports as required

  • Establish and manage a repository for client contract information, QBR’s, reporting, compliance and tracking

  • Update COSMOS Profiles, entries and updates as required

  • Technical lead for VMS tools management within Modis

  • Support Client Procurement

  • Support National Accounts RFP/Bid Management

  • Attend regularly scheduled National Accounts and Client meetings.

  • Undertake the training of Modis staff on VMS tools as required and carry out the role of system administrator for VMS Tools.

Consultant Administration (In Support of the Ottawa, Halifax and Montreal Offices)

  • Manages and on-boards all consultant new hire paperwork, including contracts, policies, guides and payroll instruction and ensures proper completion of required paperwork.

  • Assist consultant and/or client in obtaining consultant logins into the client time reporting system PNET (if applicable). In addition, and not limited to; obtain login into the client time reporting/billing system for Modis use to confirm that consultants are entering their hours on a timely basis, entering their hours correctly and that the bill rates in the system match the Modis bill rates. Liaise with Consultant Payroll to resolve any time reporting discrepancies.

  • Follow up and assist consultants with weekly timesheets and ensure that each consultant submits a billable-hours timesheet or a “did not work” timesheet by running the appropriate Decision Studio Reports. Submit zero hour timesheets, when necessary. Track and manage all web-time reporting.

  • Reviews PeopleNet reports to ensure all timesheets have been processed and creates missing timesheet spreadsheet for consultants who did not submit zero hours.

  • Generate client contracts and consultant new hire paperwork (including contracts) and ensure proper completion and the return of required paperwork to the branch. Ensure quality data entry of Job Order information in COSMOS.

  • Update the Starts and Ends Report with new Job Order transactions.

  • Perform client credit checks, if necessary. Ensure that background and credit checks are performed in compliance with our client contract agreements and Modis’ Policy.

  • Communicate all new and current Modis policies and procedures to the consultants.

  • Assist the Sales Solutions Consultants and Talent Solutions Consultants with managing current assignments by providing current database reports, when applicable.

  • Ensure timely communication between the branch and the corporate office by responding to all emails/phone calls within 24 hours.

  • Manage client contract information and reporting as required.

  • Submit Backcheck requirements when applicable.

Audit New Hire and New Assignment information prior to database entry

REQUIRED ACTIVITIES:

  • Daily:

  • Monitoring of postings on VMS tools

  • Communicating with Regional National Account Leaders and their team members on fulfilment and compliance issues

  • Assisting on submissions, interviews scheduling, consultant onboarding

  • Monitoring VMS tool performance and resolving technical system issues with MSP Vendors

  • Coordinating resolution of VMS billing, contractor timekeeping and payment issues

  • Processing of Job Orders with Sales Solutions Consultants

  • Weekly:

  • Gathering SLA performance information and disseminating to National Account Leaders and Modis Senior Management

  • As required, updating the VMS contract repository and providing training, coaching to optimize use of systems

  • Updating the Starts and Ends Report and other reports required weekly.

  • Processing the weekly Invoicing cycle to clients (as applicable)

    Monthly:

    • Preparing for conference calls and QBRs (staggered by VMS client across the month)
  • Creating corrective action plans and monitoring their implementation (as necessary)

  • Communicating status of plans to National Account Leaders and Modis Senior Management

  • Processing the Monthly Invoicing cycle to clients.

EDUCATION & EXPERIENCE:

  • 2-3+ years’ work experience, some of which must have been in an administration capacity, project coordination or contract administration, preferably within a similar industry

  • Completion of Community College or equivalent preferred

  • Security Level Clearance (must be able to obtain Secret level), as required

  • Familiar with creating Crystal Reports and entering data into database

  • Experience with records management

  • Requires Intermediate to high levels Computer literacy skills to include PC based applications not limited to excel, word and PowerPoint and strong web navigation skills

  • Familiarity with applicant tracking tools, sales tools and/or job boards (e.g. COSMOS, Taleo, Monster, Workopolis, Hotjobs, Fieldglass, Beeline, IQNavigator)
