Job Description

The Assistant Director of Facility Management and Operations provides support and expertise to the Director of RecSports. This position is directly responsible for oversight and direction of the daily logistical management and operations of the Rolfs Sports Recreation Center, Smith Center for Recreational Sports, the Rockne Memorial Gymnasium, Joyce Center North Dome, Ricci Family Fields and Stinson Rugby Field.

The Assistant Director of Facility Management and Operations develops policies and renders facility operations decisions along with providing vision and direction for facility operations. This position is also responsible for event scheduling for all RecSports facilities.

The Assistant Director of Facility Management and Operations serves as a member of the RecSports senior management team and as such provides leadership, supervision and education to both professional and student staff on critical items such as assessment, facility management, budget development and professional/student development. This position also provides direction and leadership for student employee staff training and development.

Facility Management and Operations Oversight and Management of Daily Logistical Facility Operations Provide leadership and direction for facility staff while ensuring that all RecSports facilities are safe, friendly and functional for the students, staff/faculty and guests of the University.

  • Ensure appropriate safety measures and supervision of all events and programs taking place in RecSports supervised facilities.

  • Act as the primary liaison to various university groups that include, but are not limited to Building and General Services, Public Safety, and Student Activities Office-Facilities.

  • Collaborate with Building Services to develop work schedules for cleaning and maintenance of all RecSports supervised facilities (Rolfs Sports Recreation Center, Smith Center for Recreational Sports, the Rockne Memorial Gymnasium, Ricci Family Fields and Stinson Rugby Field).

  • Communicate facility schedules, maintenance needs, and special events, to necessary RecSports staff, campus partners and colleagues throughout campus.

  • Provide outstanding customer service via staff training, policies and procedures and special programs.

  • Collaborate with Assistant Director of Administration to administer online program surveys to gauge member satisfaction levels, constructive feedback, and achievement of learning objectives.

  • Provide leadership via instruction and evaluation of software programs that RecSports currently uses (ex. Innersoft Fusion, WhentoWork).

  • Provide oversight and management of all facility maintenance and renovation projects.

  • Assist in budget development, financial planning, equipment/services procurement and knowledge of student personnel administration (purchasing sports equipment, reviewing student staff payroll, ensuring revenue from daily guest passes are being deposited)

  • Annually review and revise facility and student staff employee operation manuals.

  • Coordinate and maintain all facility schedules and calendars and further develop facility reservation request procedures.

  • Supervise the training and operation of the Welcome Desk (in each facility which includes:)

  • Customer Service protocols

  • Access/Entry Control

  • Equipment Check Out

  • Cash/Credit Card Handling Procedures

  • Communication and Support of Aquatic, Fitness, Equipment Rental/Check Out, Intramural and Club Sports Programs

  • Locker services (Rockne)

  • Guest Passes

  • Develop, Review, Revise and Enforce Facility Access/Entry Policies and Procedures

  • Coordinate with Administrative Assistant any Special Facility Access Memberships

  • Represent the department on division and university-wide committees as appropriate.

  • Risk Management The Assistant Director for Facilities Management and Operations is responsible in conjunction with the RecSports Risk Management Committee for developing safety and preventative facility maintenance check lists, directing departmental risk management plans, conducting student safety audits, offering educational workshops/seminars to full time and student employees. This position will be responsible for overseeing departmental risk management plans and procedures such as the following:

  • Serve as the primary Safety and Risk Manager for the RecSports facilities and assess the potential safety risks throughout all facilities.

  • Assist with monitoring and inspection of recreational facilities and equipment to ensure safety of participants by following industry standards and university risk management guidelines.

  • Collaborate with the RecSports Risk Management Committee by providing feedback and follow up documentation regarding incident and accident reports related to injuries, facility operations, policies, security, and conduct issues.

  • Collaborate with the RecSports Risk Management Committee by providing feedback for Emergency Action Plans and ensure that facility staff is certified in CPR, First Aid and AED usage, monitor Monthly Risk Management Training (ex; Red Shirt Drills) and Quarterly In-Services with Student and Professional Staff.

  • Coordinate facility access/usage for individuals and groups along with any risk management related paperwork.

Personnel Management Employment, Supervision, Training and Development

  • Recruit, hire, train, supervise, develop, evaluate and mentor the following professional staff positions:

  • Rolfs Sports Recreation Center/Smith Center for Recreational Sports Facility Operations Coordinator

  • Joyce Center-North Dome Facility Operations Coordinator

  • Rockne Memorial Gymnasium Building Manager

  • Aquatics Program and Risk Management Coordinator

  • Duncan Student Center Climbing and Bouldering Wall Coordinator

  • Create Professional Development Plans for each staff member.

  • Lead planning and execution of all student staff orientation and training initiatives in collaboration with RecSports Staff Development Committees.

  • Collaborate with Assistant Director of Administration with professional and student staff development programs.

  • Other duties as assigned.

Minimum Qualifications

MINIMUM QUALIFICATIONS

  • Bachelors degree in recreation administration, sport management, leisure studies, physical education, kinesiology, or comparable degree.

  • 4 years of demonstrated experience managing multiple full-time professional staff and work experience managing recreation facilities to include aquatics facilities.

  • Direct personnel management experience of professional and student staff: recruiting, hiring, training, scheduling, and evaluating.

  • Experience with programming or service delivery for diverse population/community.

  • Possess a current CPR, AED, and First Aid Instructor certification.

  • Possess a current Certified Pool Operator or Aquatics Facility Operator certification.

Preferred Qualifications

PREFERRED QUALIFICATIONS

  • Masters Degree in recreation administration, sport management, leisure studies, physical education, kinesiology, or comparable degree. facilities to include aquatics facilities.

  • Possess a current Climbing Wall Instructor Certification (CWI).

  • Possess a current Lifeguard and/or Swim Instructors Certification.
