Amazon.com Operations Admin Assistant in North East, Maryland

The Operations Administrative Assistant role provides support to the management team in a variety of tasks. In this role, you will help drive a positive and engaged associate base by supporting the HR and Operations team as well as the warehouse floor associates as the front line HR representative in an Amazon Fulfillment Center.

Job Description:

· Drive a positive and engaged associate base by participating in Associate Activities Committees, Engage @ Amazon meetings, communicating and impacting Connections scores and other employee relations related tasks

· Support the HR team with new hire orientation by helping with necessary I-9 and OnBase/MyDocs/Hyland Reporting Services paperless new hire employment documents, ensuring accurate timekeeping for those new hires and assigning and maintaining lockers

· Partner with HR Business Partners and Operations Management to apply NACF Policy and Procedure to help drive productivity, quality and safety through the Amazon ADAPT system

· In addition, monitoring for outstanding feedback, and entering exemptions and overrides, when applicable

· Assist in researching counseling history as needed for the HR and Ops team in order to help make recommendations for progressive corrective action including terminations

· Assisting associates within the FC when needed for access to the Employee Resource Center, the HUB, HiTS, HR Pulse/Key and other HR services

· Submitting trouble tickets on associates behalf and following up to completion and clearing trouble tickets assigned to the site by the ERC

· Communicating hours worked by associates to comply with Amazon standards for max time worked per day and week (12 hour day/60 hour week max)

· Clear exceptions within the timekeeping system (MyTime) and researching, correcting and communicating attendance trends for unexcused absences for the hourly population

· Researching negative unpaid time when associates and communicating to managers for follow up

· Scrubbing rosters for associates with zero hours, monitoring the attendance hotline and researching individual time cards to maintain a clean roster

· Follow up on vacation approval requests as required

· Ensure proper coding of time for associates by auditing time cards, VCP reports, and trouble tickets when applicable

· Submitting requisitions and ordering SWAG, supplies and other items for on-site events through COUPA to maintain appropriate inventory

· Escalating appropriately to the HRA or Sr. HRA team when discrepancies or escalation arise with associate interactions such as LOA, Accommodations, or other employee relations issues

· Posting productivity rates for associates quarterly to help them meet daily goals

· Updating and communicating OT hotlines, posting and trackers when necessary including executing Call Em Alls to associates

Additional responsibilities may also include:

· Assisting on the floor when needed during seasonal peak times

· Acting as a communication coordinator with an FC which may entail visual communications, ACID TV displays and weekly newsletters

· Conducting HR Gembas or Champion for the Associate Interviews

· Assisting managers with completing investigation by taking witness statements or making recommendations

· Creating reports and assisting operations with research and analyzation of trends with attrition, attendance, unpaid time, roster management

· Using People Portal, People Insight or HRBI reports to research and analyze data to impact HR metrics

· Working on projects geared toward impacting HR metrics such as attrition and attendance

Basic Qualifications

· High School diploma or GED equivalent

· Must have administrative experience such as data entry, managing data driven report processes or detailed processes that have a lot of components to manage.

· Computer proficiency, specifically with the Microsoft Office suite (Excel, PowerPoint, Word).

· Must adhere to confidentiality expectations

· Ability to work up to ten hour shifts on your feet on a warehouse production floor

· Shifts may include nights and weekends as Amazon NACF is a 24/7 environment and shifts my change due to business needs

Preferred Qualifications

· Bachelor’s Degree or equivalent post-secondary degree

· Experience utilizing a time and attendance system

· Experience within a manufacturing or production environment

· Ability to multi-task and manage details of different processes efficiently in a fast paced environment

· Strong organizational skills

· Excellent oral and written communication skills

· Must be able to work independently, seek answers when help is needed and motivated to seek out additional tasks for completion

· Ability to quickly pick up new software and tools
