Operating Room Scheduler / Secretary

Position Summary:

Provides patient information to appropriate customers

 Attends to all physicians’, guests’, and/or families’ needs as appropriate on their unit

 Provides centralized information and referral and contributes to good customer service

 Processes maintenance requests as needed

 Sorts and distributes mail to appropriate personnel daily

 Picks up payroll checks for distribution

 Compiles and distributes OR/PACU/Anesthesia daily call schedule

 Schedules surgical procedures with physician or physician’s office designee on a daily basis

 Monitors and audits schedule for the next day on a daily basis

 Enters into OR computer system appropriate charges on Billing Screen in OR module within 24 hours of date of service

 Collects and audits departmental documentation for preparation of patient charges. Provides same to auditing department

 Reports to Department Director or designee, any problems associated with scheduling, documentation, and/or changes

 Sorts, files, batches all charge documents with less than five (5) identified errors per month

 Enters patient data/charges, reviews and verifies batches for accuracy before posting

 Interprets and troubleshoots computer system error messages, as needed

 Assists other users to troubleshoot and document all system errors and notifies Director/HIS of any unresolved problems

 Updates preference lists and compiles statistical reports as requested

 Facilitates the scheduling of operative procedures by providing complete and accurate statistical information as requested and within the time frame requested

Position Requirements:

Provides support and assistance to the Director and contributes to the department by:

o Answering phones within three (3) rings, taking messages, contacting referral agencies/organizations, paging personnel, etc.

o Typing memos and other correspondence with 100% accuracy; preparing reports and other materials as directed; making phone calls and setting up appointments as requested; maintaining and filing all department documents; entering data into the computer system as directed

o Attending committee meetings, taking and transcribing minutes, copying and disseminating final forms within specified time frames

o Tracking, compiling, and generating department statistics as directed

o Greeting people entering the department, smiling and making eye contact, giving full attention to him/her, and directing him/her to the appropriate department/personnel

o Making recommendations to improve work flow and identifying and communicating problems with the Director/Clinical Coordinator

o Generating committee/meeting notices and providing appropriate distribution

o Distributes mail daily

o Reports to the Director/Clinical Coordinator for additional responsibilities when completed with all other assigned duties

o Develops and maintains system for all new, reviewed, and revised hospital wide policies and procedures

o Develops and updates data base
