This is a Finance Operations role, supporting the Intellectual Property department.
The Intellectual Property Operations Analyst manages and provides strategic guidance for our operational and billing functions for the Intellectual Property Group, such as: Invoice processing, Budgeting and monthly accrual, Database administration of invoice and budgeting databases. In addition this position participates in the preparation of certain financial analysis and assists in the preparation of budget/forecast
Work with billing/collections personnel at law firms and vendors to ensure that their invoices are properly submitted to our e-billing system (CounselLink) Analyze accounts, financial reports, and records Review and verify accuracy of cost center line items in SAP Develop detailed explanation for variances between actual and plan on a monthly basis for IP Run and distribute monthly reports to IP Region Head, summarizing financial results Work with the attorneys and patent agents in the IP team to ensure invoices are reviewed/approved in an appropriate timeframe Work with the Accounts Payable and IT teams to ensure invoices are being received and paid Troubleshoot database or invoice issues as needed. Work with the IP docketing system and budget planning tool to devise yearly budget estimates for the team Participate in the preparation of yearly budgets and revised quarterly budgets, preparation of monthly accrual reports Participate in discussions with Finance to review assumptions and risks regarding the budget
BS/BA, preferably in a business administration, finance, or computer science field and with a minimum of 5 years of business administration and/or database management Experience with electronic invoice processing, database administration and budgeting tools Preferably some experience with Financial systems and procedures Previous experience as a Collections Specialist a plus Information Management – comprehensive understanding of the methods and electronic tools used to store, retrieve, and process information Advanced knowledge of office software (Microsoft Office) The successful candidate must have great organizational skills and be personable as the person will be the liaison between the IP team and its many vendors (law firms), the accounts payable team, finance, IT and various database vendors
