The primary function of theOperations Manageris to manage a staff of Program Coordinators who are responsible for on-boarding new physicians (credentialing / state license verification / malpractice insurance), physician scheduling within the ICU / physician travel arrangements & expense, payer enrollment and billing reconciliations. The Operations Manager is also responsible for processing and reporting of physician contracts, compliance with Healthstream training, maintenance of hospital contract / renewals, billing variance analysis and facility management.

DUTIES INCLUDE BUT ARE NOT LIMITED TO:

  • Responsible for all facility operations.

  • Manages all on-boarding processes for new physicians. This will include hospital and payer credentialing, state license applications and coordination of med-mal insurance policies.

  • Develops documented SOP’s (Standard Operating Procedures) for all operational functions.

  • Responsible for managing, tracking and reporting all new physician contracts as well as contract renewals. Develops necessary reports that provide current status of ALL physician contracts.

  • Develops detailed physician contract status reports on a weekly and monthly basis.

  • Manages changes in physician compensation rates and ensuring that all physician pay scales are within PAWS / FMV guidelines..

  • Works with Regional Medical Directors and legal department in the timely processing of physician contractual changes.

  • Develops work plans and project management goals during the development and roll-out of new programs. Ensures that all physicians are properly credentialed and licensed within new program development timelines.

  • Manages the recruitment and scheduling process of physician locums when needed.

  • Participates in the provider recruitment process and coordinates all physician and mid-level hires with HR. Ensures the accuracy and the timely processing of all provider contracts, both new and renewal.

  • Ensures that all regulatory compliance and training requirements for ALL physicians are achieved by pre-described due dates.

  • Ensures that ALL hospital contracts are properly tracked and renewed in a timely manner. Develops necessary management reports in order to effectively report on the status of all hospital contracts and will coordinate all contract renewal processes.

  • Manages facility and equipment leases and ensures proper adherence to contractual and renewal requirements.

  • Ensures that all physician payroll documents are processed in a timely manner.

  • Coordinates physician reimbursements (e.g. travel, equipment, conference registrations, etc.).

  • Develops and coordinates physician educational programs as needed, including orientation to the facility and assisting in establishing efficient provider practices.

  • Assists Medical Director with staffing & scheduling issues.

  • Works in conjunction with corporate billing department in order to ensure the accuracy and timeliness of physician billing procedures and policies.

  • Assists physicians in complying with patient billing requirements.

  • Performs other duties as assigned.

EDUCATION

  • A Bachelor’s degree in Business Administration or related field is required, with an emphasis in Healthcare Administration preferred. Appropriate experience may be substituted for educational requirements.

EXPERIENCE

  • Five years’ work and supervisory experience in practice management of multiple locations.

  • Effective working knowledge of healthcare financial management, contracting, hospital / payer credentialing and physician relations.
