BMO Financial Group Private Client Division, Senior Branch Operations Administrator in Alberta, Canada

Under the direction of the Branch Operations Manager, this role is accountable for the management of sales compliance and regulatory requirements for a Private Client Division (PCD) Branch. This role is also responsible for informing the Branch Operations Manager on compliance functions within the branch and assisting the Branch Operations Manager to ensure that compliance obligations are met.

Business Delivery and Operational Effectiveness:

  • Act as a designee for the branch manager on compliance objectives within the branch

  • Identify, report and manage all compliance issues, irregularities and discrepancies to Branch Operations Manager

  • Provide ongoing compliance education

  • Provide support and guidance to branch staff members

Risk Management & Controls:

  • Work directly with the Branch Operations Manager to ensure proper adherence to all aspects of First Principles Our Code of Conduct and Ethics for individuals in the branch

  • Support the Branch Operations Manager with all operational and regulatory compliance responsibilities as assigned, including daily and monthly reviews, the review of various branch reports, the review and approval of client account documentation, and being a branch resource and the first point of escalation for compliance related inquiries

  • Work with the RCO and partners to ensure compliance policies and procedures are adhered to in the branch

  • Follow security and safeguarding procedures and apply appropriate due diligence for the prevention of loss due to fraud, counterfeiting, money laundering or defalcation in accordance with Bank policy

  • Protect the Bank’s assets by adhering to all banking, investment and lending regulations (as appropriate), Policies and Procedures, legal and ethical requirements, process requirements, bank guidelines and established risk guidelines

  • Process supervision reports for newly licensed RRs/IRs as delegated by the Branch Operations Manager

  • Maintain branch files on: outstanding client complaints hold mail accounts, insider clients, outside business activities, non-approved option trades, pledge accounts as delegated by the Branch Operations Manager

  • Sundry duties as assigned

Qualifications:

  • Strong verbal communication skills

  • Thorough knowledge of administrative policies and procedures, namely the Sales Administration Manual, and those of Operations; Compliance; Documentation, and Continuing Education

  • Proven relationship management skills

  • Previous experience in Financial Services industry

  • Ability to use initiative and work with minimal supervision

Education/Experience:

  • University degree or equivalent experience preferred

  • Completion of the Canadian Securities Course (CSC), Conduct and Practices Handbook Course (CPH) and current registration as a Registered Representative (RR) with IIROC required

  • Supervisory licensed preferred
